Build the pack throughout the project
A handover pack is much easier to produce when its source records are controlled from the beginning. Waiting until the final week often means searching inboxes, shared drives and paper files for evidence that should already be connected to the project.
Start with project and technical information
The exact contents are contract-specific, but a structured pack may bring together project identification, relevant technical requirements, drawing information, declarations or certificates, production evidence and other agreed close-out records.
Include controlled drawing information
The final drawing register, relevant revisions and issue history can help demonstrate which information governed the completed work. Include only the records required by the project and make the revision status clear.
Bring material and QA evidence together
Where required, material certificates, traceability records, inspection evidence, welding-related documents, NCR close-out information and other QA records should be organised so a reviewer can understand what they relate to.
Check completeness before issue
Use a close-out review rather than assuming that every document exists because fabrication is complete. Outstanding supplier certificates, open NCRs, missing acknowledgements or incomplete production stages should be visible before the pack is finalised.
